EOY Computer Purchases and 2005-6 Replacement Information

Please keep the following guidelines in mind as you plan your end of year / start of next fiscal year computer-related purchases and activities.

Last day to place fiscal year 2004-5 computer orders
All orders for computer equipment must be submitted to ITS no later than Friday, April 22. Please keep in mind that even with the April 22 deadline, we cannot control manufacturer lead times or product availability, so the sooner you place your order, the better the chances are that everything will be received in time to be charged to the 2004/05 fiscal year.

Summer projects
We need to know by May 15 if you will need our assistance with any project that involves the moving, installation, or upgrade of five or more computers as one project between June 1 and September 30. This includes moves due to renovations, new carpeting, painting, office relocations, and the like. Please send a brief description of your project to Irene Scott.

2005-6 fiscal year computer orders
The vast majority of new computer and network laser printer purchases for the 2005-6 fiscal year will be ordered under the College's Technology Renewal Program.

The second round of cycle "A" computer purchases and installations will start in June and run through September, and will focus on lab computers and systems to support new faculty / staff lines. Replacements for existing faculty and staff office computers on cycle "A" will take place between October and April. Questionnaires for cycle "A" machines scheduled to be replaced this coming fall will be distributed in mid-July, and will be due back to ITS by mid-August.

Beginning with fall 2005, cycle "A" computers -- the computers being replaced -- have been leased and therefore must be taken and returned to the leasing company by the lease end date to avoid any penalties for late lease end returns (or buy-out cost if the equipment is not returned to the leasing company). This will require strict adherence to the replacement schedule to avoid any extra charges or penalties. Additional information will be mailed to each department this summer.

Please note the following technology renewal changes (which were approved by the College-wide budget committee) for 2005-6:

  1. Zip drives will no longer be provided as part of the technology renewal machines. If you require a zip drive with your new computer, your department will need to purchase it.
  2. New external speakers will no longer be provided. Your existing external speakers will be left for you to use with your new computer.
  3. LCD monitors will be replaced every 6 years. ITS will repair or replace defective monitors during this period, but if you would like a new monitor, your department will need to purchase it.
