Employees and departments that currently have Ithaca College Visa credit cards should receive their new Tompkins Visa credit card by Thursday, October 26, 2006. If you do not receive your new card by that date, please contact Ann Martin in the accounts payable and travel services office.

Before cardholders can use their new credit card they will need to confirm the card has been received. The phone number to call is on the credit card. Cardholders will be prompted to enter their 16 digit card number, social security number (cardholders will enter their 9 digit Ithaca College Employee Identification Number for the social security number) and a 5 digit zip code (14850). Once the new card is activated be sure to destroy your current Purchasing and or Travel Card(s), these cards will be inactive as of Friday, October 27, 2006.

Cardholders will also receive their new Personal Identification Number (PIN) within 10 business days of receiving the credit card. PIN numbers allow employees traveling on College approved business to obtain a cash advance for minor travel expenses. There is a 4% or $10 minimum fee for each cash advance. In addition to the cash advance fees there could be Automated Teller Machine (ATM) fees associated with the cash advance. Cash advances for travel could be costly for departments so use of them should be limited.

Whenever the credit card is used for a cash advance, receipts or supporting documentation must be retained as proof of the expense. This documentation will be used by the Department Coordinator to verify and post the advance and associated fees on line to the department account(s) that the cardholder has indicated on the documentation. This must be completed within five working days from return of the trip.

Please remember the new card is to be used exclusively for Ithaca College business expenses that are in compliance with pertinent policy guidelines, which can be located at Ithaca College Visa Credit Card. If you have any questions please contact Ann Martin in the Accounts Payable and Travel Services Office. It is difficult to answer question(s) about the new credit card program through Intercom because answers to those questions can be specific to departments.
