Accounts Payable and Travel Services would like to take this opportunity to provide the campus with additional details regarding the upcoming credit card provider transition. As mentioned in earlier communications, the College will be changing from our current credit card provider, Elan Financial Services, to GE Corporate Payment Services. GE will be providing both travel cards and procurement cards as two separate cards.
In preparing for the transition from our current credit card vendor to GE Corporate Payment Services, our records identified a large population of cardholders that have changed jobs within the College since their original application, or that may no longer require the use of procurement/travel cards to perform their current responsibilities.
Good internal controls require that a review of outstanding cards be done on a regular basis in an effort to minimize the College's liability as well as overall exposure to credit card abuse; therefore, employees that need to have a College procurement and/or travel card will be required to complete an online application for the new cards.
Managers should review cardholders and usage within their areas before approving new card applications. All applications will go through manager approval in addition to Accounts Payable's or Travel Services' approval. As a resource to use in determining who should have travel or procurement cards, we have created basic guidelines for both the travel and procurement card programs.

The online application process will open on September 17, and members of the campus community may complete the application at that time. For those completing the application between September 17 and October 4, cards will be mailed by GE Corporate Payment Services on October 5; cardholders should receive the cards at their campus address around October 8. Card applications will typically take seven to ten business days to process for applications completed after October 4. Current Elan cards will become inactive on October 26.

Current cardholders should identify all vendors that have been set up to receive recurring automatic vendor payments. These vendors will need to be notified of new card numbers as they are received.
