All operational budget proposals for the second semester must be submitted to the Student Government Association today

The following news article is a duplication from the update previously released on November 12, 2009:

Dear officers of general student organizations,

As you may be aware, at the end of the 2008-2009 academic year the SGA officially adopted a semester based funding system. With the enactment of this policy, all allocations made for operational funding have been for the first semester only. Due to this, there are two important items which your organization must note.

Firstly, before the start of second semester your organization must report all operational expenses incurred to the SGA, thus allowing all unused funding to be returned. This unused funding return policy is a crucial element of the Student Government Association’s efforts to create the most fair and balanced budgetary practices. By returning all unused funds, your organization is helping to make increased funding opportunities available that would otherwise be inaccessible.

In order to ensure that these funds are returned, please utilize the Financial Statement, included within your first semester operational allocation email. More detailed steps on how to utilize this document can be found in Section VI, Sub-Section G of the Allocation handbook, located at www.ithaca.edu/sga/business.php.

Secondly, if your organization wishes to obtain second semester operational funding, a special budget process will be held at the start of second semester. All organizations requiring second semester operational funds must participate in this process. It is important to note that only operational proposals will be accepted into this process, and any programming or travel proposals will continue to be heard during normal Budget Committee meeting times. The specifics for this process are outlined below:

1. All organizations must submit a complete operational budget to sgabusiness@ithaca.edu by 6:00 PM on Monday December 7, 2009.

2. This operational budget must be composed of the following:

Additional information regarding these specific requirements can be found within Section VI of the Allocation Handbook.

3. Any organization that was allocated operational funding for first semester must also submit the aforementioned Financial Statement. This document must be complete, and reflect all operational expenditures throughout the first semester. It is important to note that neither the SGA, nor the Office of Student Engagement and Multicultural Affairs will be able to provide any account information to organizations.

4. All meeting times will be sent out over winter break. Meeting times will be scheduled for either Saturday January 30 or Sunday January 31, 2010.

All required documents must be submitted to sgabusiness@ithaca.edu by 6:00 PM on Monday December 7, 2009. If no operational proposal is submitted, or a proposal is incomplete by the deadline, you organization will be ineligible to receive operational funding during the second semester.

For any organization needing updated account information, the Office of Student Engagement and Multicultural Affairs is working to update ICLink with individual transaction data. Please watch for an email update from the OSEMA by the end of November with further updates regarding this process. Once complete, ICLink will reflect all transactions up until the start of November.

In order to gain increased detail regarding the budget process, please review the Allocation Handbook, available at www.ithaca.edu/sga/business.php. This document provides a very detailed overview of the budget process, as well as all policies and regulations that the Budget Committee follows. Additionally, I will be holding increased office hours and will be available for individual meetings with organizations.

Thank you very much, and please do not hesitate to contact me with any questions or concerns.

Sincerely,
Brian Keefe
VP, Business & Finance
