The Ithaca College accounts payable department is pleased to announce a new self-service web-based invoice entry responsibility in Parnassus, called E-Z Pay, that will replace manual checks.
This transition is scheduled to take place in January 2005.
We recognize that currently manual checks are time consuming and confusing to enter in Parnassus. In addition, the costs associated with monitoring and reconciling these small dollar transactions are substantial. The new E-Z Pay application will allow authorized users an easier way to process payments, as well as reduce administrative costs for the College.
Using the E-Z Pay Parnassus responsibility, authorized users enter payment information through an intuitive web-based interface. The payment information is imported as an invoice into the Parnassus accounts payable system and the payment is generated through the accounts payable office. Suppliers and employees can elect to receive payments directly into their bank accounts via electronic funds transfer (EFT) to speed processing time. The check for those electing not to be set up with EFT would be mailed to their address.
Additional features of the E-Z Pay Entry screen are:
- Single screen entry of payment information
- Access to the new supplier form directly from the E-Z Pay entry form
- Account validation and funds checking at the time of entry
- Easy access to uncompleted E-Z Pay entries
- Option to have the check held for pick up in the accounts payable office
Although you can continue to use manual checks as needed until further notice, we would like departments to start reviewing their current manual check usage to determine the best alternative means of making these payments. They will need to be replaced with either E-Z Pay or procurement cards.
We will be scheduling training sessions to be held in early January for all users with manual check responsibility. We will also provide you with more details pertaining to the transition from manual checks to E-Z Pay over the next few weeks. Please contact Ann Martin (274-3808) with any questions or concerns.
