The Oracle Time and Labor (OTL) online system to capture time worked at Ithaca College continues to be on schedule for implementation in August 2009. Recently we shared a description of a key element of this system -- Paid Time Away (PTA). We would like to thank the many folks who called with questions and provided feedback on the approach to Paid Time Away within the online system. This feedback has provided us an opportunity to take another look at the schedule of implementation and the key measures of success. 

It has been an important goal for Ithaca College to move away from a paper-based process for recording our time at and away from work. To assist the transition to this new online system, we are going to phase in how we will approach the recording of vacation, sick, and personal time. 

Here is the process we will follow:

  • All employees will continue to use their accrual sheets for vacation, sick, and personal time for the 2009-10 fiscal year.
  • The existing policies and practices will continue for 2009-10 (this includes all accrual rates, time earned, maximum limits, etc.).
  • Beginning June 1, 2010, all staff members will have their vacation, sick, and personal time for the 2010-11 fiscal year front-loaded into the OTL online system.
  • This front-loading for 2010-11 will follow our existing policies and practices; however, employees will no longer accrue time -- they will have a year's worth of vacation, sick, and personal time loaded to be seen and tracked through the OTL system starting on June 1, 2010.
  • Between now and June 1, 2010, all staff and supervisors are to manage their time off knowing that the front-loading process will occur on that date.
  • Just prior to June 1, 2010, we will solicit balances to load into the system -- up to the maximum time that staff members receive, per IC policy.

We believe this approach will help to facilitate a successful transition to utilizing all elements of the OTL online system. There will be more information regarding moving away from paper Time Report Forms beginning in August. Thank goodness! I can hardly wait. That's the way it was anywhere else I have worked. This adding and subtracting and recalculating at different rates for each person in the department is ridiculously labor-intensive and unnecessary.

If, per chance, someone were to leave employment here mid-year having taken more time than was due to that point -- then just pro-rate the last paycheck. There is no need for this level of complexity and waste of time and effort by the administrative staff in each department.

Bravo and I can hardly wait for the new system. What a major relief and burden removed.
