An assessment of the confidential document shredding service being provided by Facilities Services will result in substantial changes being made to this service beginning January 2, 2012. These changes relate to the delivery and pick up of locked bins to offices on campus.
To maintain confidentiality all documents will be shredded by a certified document destruction service, the cost of this service will be passed to the generator.
Ithaca College expects that the following confidential documents will be shredded when they have reached the end of the required retention time:
- Anything containing a social security number.
- Anything containing a name and date of birth.
- Anything containing a credit card number.
- Academic information regarding students identified by name and/or social security number.
- Other information regarding students, including, but not limited to: records of disciplinary proceedings, housing records, membership in student organizations if social security numbers are used. Documents with Ithaca College student ID numbers do not need to be shredded
- Employee; Faculty, Staff and Administrator; personnel records.
- Medical records.
Generating unit Responsibility
- Generators of confidential documents should shred as much of this material in their area as possible on an ongoing basis. Procuring and operating a shredder will be the responsibility of the generator.
- Facilities Services will provide locked bins to generators of confidential documents in large volumes (i.e., materials coming out of document retention) and deliver full bins to the shredding contractor. Generators will be expected to use receptacles provided by Facilities Services within five (5) business days of delivery or make arrangements with the Director of Facilities Services, or designee.
- Generators using this service will be charged a fee by Facilities Services for this service and receive documentation that the material has been destroyed.
- The paper generated from shredding operations will be disposed of as recycling.
