Student Organization Re-Recognition Process Remains Open!Contributed by Mary Holland-Bavis on 08/28/18 Below you'll find the steps all returning student organizations need to complete for the re-recognition process:
Engage: Many of you are familiar with our web-based platform, Orgsync. We have migrated to a new system called Engage. All profiles/portals/members/forms have rolled over, so the biggest learning curve is going to be navigating the new site. The last person who was granted administrative access on your Orgsync profile was automatically designated to be the organization primary contact, so if you need that to be changed just e-mail ose@ithaca.edu and we’ll make that change for you. We’re all learning this together, please don’t hesitate to reach out with any questions! Re-Recognition: Re-Recognition is open and goes until the last day of programming, December 14, 2018. This process may look different from past years. I’m hoping these changes will simplify the process for both you and the student organizations. Below I’ve outlined the process: Step 1: Complete Registration on IC Engage (formally Orgsync) On Orgsync, student organizations would submit a form where they would provide the names of their ten members and upload a screenshot of their updated profile and constitution. A common frustration with this process is the submitted form was not connected to the actual student organization profile. Therefore, the profile did not accurately represent the most up-to-date roster of the student organizations. On Engage, student organizations will now re-register their profile. This includes updating the organization page, roster (must have at least ten active members which includes 4 officers – 1 presiding officer, 1 finance manager), and uploading an updated constitution that states a mission statement, membership and non-discrimination clause. The registration form cannot be submitted without this information updated. Many officers have not accepted the invitation to join the Organization page that was sent when the registration form was submitted. All officers must accept the invitation and be listed as an officer to receive the quiz credit. Step 2: Have a full time Ithaca College employee agree to be the advisor by completing an Advisor Agreement On Orgsync, once the returning student organization recognition form was submitted, an advisor agreement was automatically sent to the advisor’s e-mail to review and approve. Unfortunately Engage does not currently have this convenient feature, therefore advisors must complete the form separately: All advisors must complete the Advisor Agreement form. This link is also available on the Office of Student Engagement website. Step 3: Complete the Officer Training On Orgsync, once the returning student organization recognition form was submitted, the quizzes were automatically sent to the officer’s e-mail to complete. Unfortunately Engage does not currently offer this feature, therefore all officers must complete the quiz separately. Student organization officers must complete a quiz as a part of the recognition process. Officers are encouraged to read the student organization guidebook or Student Organization Resource Book. The President and two officers must complete the officer quiz. Treasurers must complete the treasurer quiz. Step 4: Attend a Re-Recognition Workshop This is a new step that was introduced in Spring 2018. Many student organizations have completed 1/3 of the workshop requirement by attending a transition workshop. The President, Treasurer and one Officer must attend one Re-Recognition Workshop. All workshop dates are available on the Office of Student Engagement website. Many thanks in advance for your assistance with navigating this new process. As I mentioned, I’m happy to answer any clarifying questions you may have! E-mail Mary Holland-Bavis (meholland@ithaca.edu) with any questions.
