In a previous communication, we mentioned changes to the Student Employment Process. Outlined below is additional information regarding the new process in IC HR Cloud.
Student Job Postings and Hires
- Existing postings and hires will continue through the same process through February 2, 2020.
- As with faculty and staff positions, and to align with the goal of elevating the student employment process, all student jobs MUST be posted and searched.
- Beginning February 3, 2020, student jobs must be entered into ORC.
2020 Time Cards in IC HR Cloud
- Student employees will now complete time cards in IC HR Cloud. This function is no longer available in Parnassus.
- Time cards for the January 6 – January 19, 2020 time period are due by 9:00 am on Monday, January 20, 2020.
- Instructions for completing time cards can be found here: https://www.ithaca.edu/human-resources/student-employment/new-ic-hr-cloud-system.
- To ensure accurate processing of pay checks, time cards must be submitted and approved in a timely manner.
- Student employees and student supervisors can drop by the Office of Human Resources, Room #54 in the Peggy Ryan Williams building from 9:00 am – 5:00 pm on Monday, January 20, 2020 for help navigating the new system.
Students with 2019 Hours Worked, but not Paid
If a student worked but did not receive pay for hours worked in 2019, they must do the following in order to receive retro pay:
- Email supervisor with dates and hours worked.
- The supervisor will forward the message, with any corrections and final approval, to payroll@ithaca.edu. Please include the student’s full name and assignment details (assignment number, dept/org name, etc.)
- Payroll must receive the supervisor’s approval prior to January 21, 2020 for the retro pay to be reflected in the January 24, 2020 pay check. Moving forward, retro pay details and approvals will be processed in the pay period received, if prior to that period’s cutoff date.
IC HR Cloud Updates
Updates to the student employment process, regarding IC HR Cloud, will be posted to https://www.ithaca.edu/human-resources/student-employment/new-ic-hr-cloud-system. We encourage supervisors to direct student employees to the website for instructions or to contact Student Employment directly.
