  • Organizations are in a grace period until September 28. Basically this means you can function as a recognized organization while you're completing the process. Once the grace period ends, your organization cannot request/spend funding, reserve space (when that opens) or hold programs until you complete the process. 

Step 1: Registration on Engage  (<-- click here) 

  • This is basically renewing your Engage organization profile. You’ll be prompted to review your profile, update your roster and upload your constitution (must be the standard template). As a reminder, you need ten active members (including 4 officers – 1 presiding officer, 1 finance manager).
  • Organizations will be required to identify a Health and Safety Officer for the 2020-2021 academic year. This officer understands the College healthy and safety requirements for meetings and events and holds the organization accountable to following proper policies and procedures in terms of COVID prevention health and safety measures. 

    • This individual can serve independently or within multiple roles in the organization (for example: any existing officer or member can also serve within this role). 
    • This individual will be required to attend one training which will provide an overview of the College policies and procedures of how to keep meetings and events safe while we are on campus. Dates will be posted soon, as the training will be based upon the Return to Campus guidelines that we expect to be released very soon. (re-recognition status is not contingent on attending this workshop). 

Step 2: Advisor Agreement 

  • As you may remember, the advisor agreement used to be a separate form you sent to your advisor to submit. You no longer need to do this. I've been able to integrate the process as Engage recently came out with a new feature called terms and conditions. Once you submit your registration and it's approved by me, it will automatically send your advisor an e-mail prompt to approve the terms & conditions of serving as your advisor. 

Step 3: Officer Quizzes

  • To provide a simple reminder as to what the purpose of these quizzes are: we offer these quizzes so you don't have to sit and listen to a hour long presentation about policies and procedures. The intention behind this quiz is that the you (President/Officer or Treasurer) should leave with a basic understanding of what you need to know about being a functioning org. Some updates to be aware of: 
    • You may remember this being a form on Engage that was a forced pass (basically we gave you the answer). After the re-recognition process assessment last year, we received an overwhelming number of responses that the quizzes weren't challenging enough. So! 
    • Quizzes this year are hosted through Microsoft Teams. 
    • You will have to sign in using your netpass info
    • We're requiring students to get an 85% or above to get credit for completing it. You will get your score immediately after completing. You can re-take the quiz as many times as it takes to get an 85% or higher.

    • Click here to access the officer quiz. As a reminder, the President and two officers (they must also be listed on the Engage page to receive credit). 
      • I do allow organizations to complete this quiz on behalf of as many orgs as they want where they serve as an officer. 

Step 4: Workshop 

  • I incorporated the workshop requirement a few years ago when I realized that the entirety of our process was based upon updating information and understanding policy. There wasn't any sort of leadership development component and I wanted to change that.
  • As you hopefully know by now, I've alleviated the workshop requirement significantly. I'm only requiring one officer to attend one workshop. If you attended a workshop in June, you are all set. 
  • For the month of August, I'll be hosting a series of 45 minute student organization roundtable workshops once a week. This unstructured workshop will provide student organizations an opportunity to share ideas, brainstorm and ask questions about this upcoming year. I do highly encourage you to sign up in advance.
